The Executive Assistant provides a broad range of administrative support for the fast-paced Office of the Vice President/Chief Diversity Officer at Johns Hopkins Medicine/The Johns Hopkins Health System Corporation. The successful candidate will project professionalism, possess exceptional interpersonal skills in a collaborative environment, exhibit meticulous attention to detail, as well as demonstrate excellent computer literacy skills.Accurately manage the daily calendars of the Vice President/Chief Diversity Officer and the Director of Diversity and Inclusion at Johns HopkinsMedicine/The Johns Hopkins Health System Corporation by scheduling internal and external meetings, travel, and special events. Research and/or compile briefing materials, as needed, for meetings to ensure the VP/CDO and Director are fully prepared for scheduled appointments. Assist with the staffing of high-level committees, taskforces or workgroups with the solicitation of correspondence, the coordination of calendars, and meeting preparation and follow-up.Support the coordination of large-scale meetings and events including mailing invitations, tracking and reporting responses, securing appropriate venues, and handling other event details as assigned. Screen and triage all incoming communications (telephone, voicemail, physical mail, and faxes) in an efficient and organized manner. Directly handle routine communications and those which do not require elevation. Provide full-time support to the VP/CDO's guests and visitors. Provide complimentary support to the School of Medicine Office of the Dean & CEO reception area. Greet and assist visitors to the office.Coordination of general office duties such as purchasing supplies, copying, distributing information, reconciling travel and expense reporting, and maintaining administrative filing system.Creation and editing of PowerPoint presentations as requested. Additional duties as assigned. Budget Responsibility: Orders supplies and equipment within departmental budget. May monitor department/cost center operational budget. Authority/Decision Making Level: Organizes and prioritizes work to meet changing priorities. Makes decisions regarding work processes based upon established guidelines. Supervisory Responsibility: May assign work to others and/or provide guidance and direction to others. Problem Solving: Analytical ability is required in order to complete multiple tasks assigned, gather and interpret data from various sources, and resolve problems. Alerts management to any backlogs in processing for the department and may suggest ways to decrease backlog. Information Management: Must be able to use and understand hospital forms, requisitions, purchase orders, etc. Must understand budget reports and related detail. Must be able to use and understand department specific reports. Working Conditions: Work in a normal office environment where there are limited physical discomforts due to temperature, noise, dust, etc. Work requires attention to detail and requires mental/visual acuity.
